Work a mailbox with the Email Agent

Connect a Relay mailbox, choose how much the agent may send on its own, and track every thread it handled and every follow-up it scheduled.

What the Email Agent does

An Email Agent works one or more of your mailboxes. When a new email arrives, it reads the thread, sorts it into one of your categories and handles it. It can answer from what it knows, save a draft, queue a reply for your approval, or send on its own inside rules you set.

It can also schedule a follow-up if the sender goes quiet, look the sender up in Nest, and book, move or cancel Cue appointments by email.

Open it at https://tron.oroe.ai/t/email_agent.

Before you start

The Email Agent reads and sends through mailboxes you connected in Relay. Connect at least one mailbox there first.

Note An Email Agent with no mailbox never wakes up. Pick at least one under Mailboxes before you expect it to do anything.

Create an Email Agent

  1. Go to https://tron.oroe.ai/t/email_agent/agents and select New Agent.
  2. Pick a Purpose preset (optional): Support inbox, Sales follow-up or Appointment coordinator.
  3. Write the Persona / System Prompt. Say what the inbox is for and what it must never promise.
  4. In the Email Agent settings card, choose the Mailboxes it works.
  5. Choose an Autonomy level (see below).
  6. Select Save Agent.

From now on, each new email to one of those mailboxes starts a run.

Choose how much it may send

Autonomy decides what happens when the agent writes a reply.

Option What happens
draft only The reply is saved as a draft in the mailbox. Nothing is sent.
approve first The reply waits in Approvals. It’s sent when you approve it. This is the default.
auto within rules The reply is sent on its own, as long as the rules below allow it.

With auto within rules, a reply still goes to Approvals when:

  • the recipient, or their domain, is on Never auto-reply to, or
  • it’s outside Send window start and Send window end.

Tip Add lawyers, banks and anyone sensitive to Never auto-reply to. You can list a whole address or just a domain.

Follow-ups

Under Follow-ups you set:

  • Follow up automatically
  • Days after the last email
  • Maximum follow-ups
  • Stop when they reply

A follow-up goes out through the same rules as a reply, so with approve first it waits for you. If the sender replies first, the follow-up is cancelled.

To see them, open Follow-ups at https://tron.oroe.ai/t/email_agent/followups. The tabs are Scheduled, Sent, Awaiting approval, Cancelled and Failed. Select Cancel on any scheduled nudge you don’t want.

See what it handled

  • The Overview shows Threads handled (7d), Working now, Awaiting your approval, Follow-ups scheduled and Failed (7d).
  • Handled email at https://tron.oroe.ai/t/email_agent/runs lists every thread an agent worked. Open one to see its summary and each Tool calls step.
  • If a run shows needs input, it has a question for you. Type it under Your answer and select Send. The agent carries on from there.

Good to know When a thread needs a person, the agent marks it that way and doesn’t reply. Check Handled email for those.
