Send mail with SMTP
Add an SMTP sending setup so your team can reply and write new emails from Relay, and test it before you rely on it.
Why Relay needs SMTP
Every email Relay sends, whether a reply or a brand-new message, goes out through a sending setup you add under SMTP Setup. This is true even if you connected Gmail with Google. Until you add one, Relay can show your mail but can’t send any.
The good news is that it only takes a couple of minutes, and you can send yourself a test before your team starts replying.
What you’ll need
Your email provider publishes these details, usually on a page called “SMTP settings” or “Using email with other apps”:
- The SMTP server name, such as smtp.gmail.com or smtp.office365.com
- The port, usually 587 or 465
- Your username, which is normally your full email address
- Your password, or an app password if your provider asks for one
Add a sending setup
- Open Settings, then SMTP Setup (https://relay.oroe.ai/settings/smtp).
- Select Add SMTP. If this is your first one, the button says Add Your First SMTP.
- Give it a Configuration Name you’ll recognise, such as “Support mailbox”.
- Enter the SMTP Host and Port. The form reminds you of the common choices: 587 (STARTTLS), 465 (SSL/TLS) and 25 (plain).
- Enter your Username and Password.
- Enter the From Email your customers should see. Add a From Name (optional), such as your business name, and a Reply-To (optional) if replies should go somewhere else.
- Tick Use direct SSL/TLS connection only if you’re using port 465. Leave it off for 587.
- Tick Set as default so Relay uses this setup for everything it sends.
- Select Add Configuration.
Good to know There’s no “send from” menu when you write an email. Relay always sends through your default setup. If none is marked default, it uses the first active one.
Send a test
- Find your setup in the SMTP Setup list.
- Type an address you can check into Enter test email address.
- Select Test.
- Relay tells you straight away whether the test went through, and the setup shows when it was Last tested.
If the test fails, check the host, port and SSL/TLS setting first, then the password. Many providers, including Gmail and Outlook, won’t accept your normal password here and need an app password instead.
Tip Send the test to an address outside your own company, such as a personal inbox. It’s the quickest way to see how your From Name and From Email look to customers.
Edit or delete a setup
- Select Edit to change any detail. Leave the password blank to keep the current one.
- Select the delete button and confirm Delete this SMTP configuration? to remove it. It can no longer send mail after that.
